Optimizing Response Times
7 min read
Response time is one of the clearest levers on whether an interested customer actually becomes a booking. A few configuration choices determine how consistently fast that response stays, even as conversation volume grows.
The AI answers first, every time
Because the AI, not a human agent, answers every inbound message, there's no queue to wait behind — response time doesn't degrade during busy periods, outside business hours, or overnight the way a human-staffed inbox naturally does.
Escalation keeps speed without losing accuracy
When a conversation genuinely needs a human — a complaint, an edge case, an explicit request — it's escalated to staff over WhatsApp immediately, with the AI continuing to reply empathetically in the meantime rather than leaving the customer waiting in silence.
Delivery reliability protects the clock too
If a WhatsApp message fails to deliver, an automatic fallback to SMS (and, for some notification types, email) means a reminder or reply still reaches the customer instead of silently getting lost.
Measure it, don't just assume it
The dashboard's Reports section tracks reply rate directly, and every conversation carries an SLA-breach flag for any thread that went too long without a first response — so a business can spot and fix a slow spot instead of guessing at it.
